Terms of Service

1. Acceptance of Terms

By accessing Clinic Manager, you agree to these Terms of Service. If you disagree with any part, you may not use our service.

2. Service Description

Clinic Manager provides cloud-based clinic management software including:

  • Appointment scheduling and calendar management
  • Client/patient record management
  • Payment tracking and invoicing
  • Multi-user access with role-based permissions

3. User Responsibilities

  • Provide accurate, current, and complete information
  • Maintain security of your account credentials
  • Comply with applicable healthcare regulations (HIPAA, etc.)
  • Use the service only for lawful purposes
  • Not attempt to breach security or disrupt the service

4. Subscription and Payment

  • Subscriptions are billed monthly or yearly in advance
  • Prices are in Indian Rupees (₹) unless otherwise stated
  • Automatic renewal unless cancelled before billing date
  • Failed payments may result in service suspension
  • We reserve the right to change prices with 30 days notice

5. Free Trial

  • 30-day free trial available for new users
  • No credit card required for trial
  • Limited to 10 clients during trial period
  • One trial per clinic/organization

6. Service Availability

We strive for 99.9% uptime but do not guarantee uninterrupted service. Scheduled maintenance will be announced in advance.

7. Limitation of Liability

Clinic Manager is provided "as is" without warranties. We are not liable for indirect, incidental, or consequential damages arising from use of the service.

8. Termination

We may terminate or suspend your account if you:

  • Breach these Terms of Service
  • Fail to pay subscription fees
  • Engage in fraudulent or illegal activity
  • Request account deletion

Refund & Cancellation Policy

1. Cancellation

  • You can cancel your subscription anytime from your account settings
  • Cancellation takes effect at the end of current billing period
  • You retain access until the paid period ends
  • No automatic refund upon cancellation

2. Refund Eligibility

Refunds are provided in the following cases:

  • Technical Issues: If service is unavailable for 7+ consecutive days
  • Duplicate Charges: Accidental double billing
  • 14-Day Satisfaction Guarantee: First-time subscribers (one-time only)

3. Non-Refundable Scenarios

  • Mid-cycle cancellations (access continues until period ends)
  • Violation of Terms of Service
  • After 14 days of subscription start
  • Promotional or discounted subscriptions

4. Refund Process

  • Email request to support@manageyourclinic.com
  • Include order details and reason for refund
  • Processing time: 5-7 business days after approval
  • Refund issued to original payment method

Note: Yearly subscriptions are non-refundable after 30 days. Consider monthly billing if unsure.

3. HIPAA Compliance

While we implement industry-standard security measures, Clinic Manager is designed for general practice management. For HIPAA-compliant healthcare providers handling protected health information (PHI), we recommend:

  • Using our Enterprise plan with BAA (Business Associate Agreement)
  • Enabling all security features (2FA, audit logs)
  • Regular staff training on data handling
  • Contact us for HIPAA compliance documentation

4. Data Retention

  • Active Accounts: Data retained indefinitely
  • Cancelled Accounts: Data retained for 90 days
  • Deleted Accounts: Permanent deletion after 30 days
  • Backups: Removed from backups after 30 days of deletion

Data Export: You can export all your data anytime from Account Settings. We recommend regular exports for your records.
